Oswald Companies, one of the nation’s leading independent insurance brokerage and risk management firms, specializes in managing risks across a wide range of sectors, including property and casualty, employee benefits, and life insurance. With growth and expansion driving their need for a more dynamic headquarters,Oswald sought a relocation partner to manage the transition of their office to a new building in Downtown Cleveland.
Ace Relocation Systems was chosen to lead this pivotal move, building on a history of successful smaller relocations for Oswald. Recognizing the significance of this transition, a customized moving plan was followed to address Oswald’s needs, which included relocating IT infrastructure and managing employees’ belongings. Collaborating closely with Oswald’s furniture vendor, Ace Relocation executed the moves in phases to deliver a transition with minimized disruption to daily operations.
IT DISCONNECT/RECONNECT
Ace Relocation handled the disconnection of desktop IT systems for 325 Oswald employees with dual monitors, and handled reinstallation at the new site. To accommodate Oswald’s workflow, the project was staggered by floor, with one floor completed per week, allowing employees maximum productivity throughout the process.
SERVER RELOCATION
Moving a critical server from a tightly packed room surrounded by essential systems posed a unique challenge. Ace Relocation collaborated closely with Oswald’s IT department, devising a carefully timed and precise relocation plan to protect data integrity and ensure continuous access to essential systems.
COLOR-CODED MOVING SYSTEMS
To maintain order across multiple floors and streamline the move, a color-coded system of crates, each assigned to specific departments, was used. Ace Relocation highly recommends organizing boxes using a color coded system during any type of move, whether it be commercial or residential. Using a color-coding system is one of the simplest and most effective ways to keep track of boxes.
VENDOR COORDINATION
Ace Relocation synchronized efforts with Oswald’s furniture vendor, strategically timing each IT disconnect and furniture disassembly to maintain a smooth workflow. By completing tasks on schedule, Ace Relocation made space available for the vendor to carry out their installation, keeping the relocation process on track.
